Sample Acumatica Import Scenario (Access Rights)

Here is an Access Rights sample Acumatica Import Scenario with Installation Instructions.

Screen: CONFIGURATION -> User Security -> Work Area -> MANAGE -> Access Rights by Screen (SM201020)

Fields Imported

  1. Site Map Path
  2. Role
  3. Access Rights

Files

  • Access Rights Data Provider.xlsx (contains a few rows of sample data from the SalesDemo company)
  • 0 Access Rights Data Provider.xml
  • 0 Access Rights Import Scenario.xml

Installation Instructions

  1. On the SYSTEM -> Integration -> MANAGE -> Data Providers (SM206015) screen,
    import the 0 Access Rights Data Provider.xml file
    using the Import from XML option on the paperclip icon pictured belowSample Acumatica Import Scenario (Access Rights)
  2. The Schema tab should now look like this

  3. Upload the Access Rights Data Provider.xlsx file using the FILES, BROWSE and UPLOAD buttons in the upper right-hand corner of the screenSample Acumatica Import Scenario (Access Rights)
  4. On the SYSTEM -> Integration -> MANAGE -> Import Scenarios (SM206025) screen,
    import the 0 Customers Import Scenario.xml file
    using the Import from XML option on the paperclip icon pictured belowSample Acumatica Import Scenario (Access Rights)
  5. Your screen should now look like the screenshot on the top of this post
  6. On the SYSTEM -> Integration -> PROCESS -> Import by Scenario (SM206036) screen,
    select 0 Access Rights Import Scenario and click the PREPARE button

  7. Acumatica will bring the data from the Excel file into the grid on the Prepared Data tab. You know it’s finished when you get the green checkmark on the top of the screen.

  8. From this point forward, Acumatica will be using the data in the grid on the Prepared Data tab to do the import. It doesn’t go back and “talk” to Excel. So, you can change the data in the grid if you want and this will be the data that gets used for the import.
  9. Now we need to actually do the import. Before you do this, I recommend taking a Snapshot backup of Acumatica so you’ll have something to roll back to if you don’t like the results.
  10. Also, note that only the records that have Active checked and Processed unchecked will be imported. The other ones will be ignored by the import.
  11. To import, click the IMPORT buttonSample Acumatica Import Scenario (Access Rights)
  12. When it’s finished, you’ll get a green checkmark on the top of the screen if there were no errors and the Processed column will be checked for all records that imported successfully.

  13. If you get a red checkmark on the top of the screen, it means that you got an error on one of the records. Just look for the record that has a message in the Error column. You can hover over the message to see the full error message.Sample Acumatica Import Scenario (Access Rights)

    Hi Tim – I’m a new user on Acumatica, R2. I’m trying to import the Roles as described above – but no luck.

    Is there a different approach for R2. I see the classification for Target Object and Field / Action name changed. I mapped similar fields to your example. Could you assist?

      Hi Fanie,

      Did you make sure to modify the first part of the Path to match the Company Name in your Acumatica environment like is shown in the screenshots of an earlier comment on this post?

    Hello Tim, Yes I found that out sometime ago, any scenario that you export and has a data provider and file it will create that automatically when you import it. Sorry for the delay in the response.

    Yes I did set up EMPLOYEE as a role….anything else I might be missing?

      Thanks for jumping on a phone call with me to troubleshoot. Even though I couldn’t figure it out, you didn’t give up after the call and you figured it out!

      Posting your findings here.

      In my demo data I’m using Company in my Site Map. But that is all dependent on what you have in the Company Name field on the Companies (SM203520) screen which looks like this:

      The value in the field highlighted above is what determines the value that shows up here in the Site Map (SM200520) screen:

      And that is the value that you have to use in the Path field of your Excel file like this:

    Hi Nick,

    I think I just realized what you meant. Are you saying that you only need to import the “0 Access Rights Import Scenario.xml” file into the “Import Scenarios (SM206025)” screen? That sure would make things a lot easier. I didn’t realize that the “0 Access Rights Import Scenario.xml” file includes the Excel file in it.

    I already Import Access Right by Screen an Acumatica but i want to update Access Rights From ”Granted” To ”Revoked’ but the systems no update.

      I just updated something from Insert to Revoked using the Import Scenario and it worked.

      What is the name and number of the screen that you are trying to control access to?

    I get an error that says 3 items have not been processed successfully. View name:EntityRoles

    no errors on the actual lines.

      Are you sure that you have the EMPLOYEE security role defined in your Acumatica instance?

    This is great thank you Tim, one note is that you do not need to load the data provider as long as you load the import scenario first it will create the data provider for you with the excel file.

      Hi Nick, are you talking about the method of clicking the + button on the “Import by Scenario (SM206036)” screen to create a new Import Scenario?
