When we have a customer pay for an invoice with cash it is never the exact cash amount and we need to provide them with change. Although we can put in the full payment amount it shows an available balance on the payments and applications form which tells us the amount of change to provide to them, but how do we quickly close out that available balance so the Payments and Applications form is in a Closed Status?

If my understanding is correct, you are processing a payment on a cash-and-carry type invoice. You have a invoice for $19.95 and the customer hands you a $20.00 bill.
In the above instance, you would mentally calculate the change due, hand the customer $.05 and enter a payment amount of $19.95 into Acumatica. While Acumatica has a default 'Cash Sale' Order Type in Sales Order, I'm not aware of Acumatica functioning as a cash register and providing change back calculations.
There is a Point of Sale solution available from Fusion POS which integrates with Acumatica if your transaction volume makes this functionality cost effective. Otherwise, make the change calculation outside the system and enter the next cash received into Acumatica.

That was how I was thinking it would have to work, but I wanted to confirm if anyone was doing it any differently. They are small on the retail side and did not want to have to spend the money on a POS system so they were just trying to make due with Acumatica itself.
Happy to help. I have a customer in an similar situation. Their cash-and-carry volume is just on the cusp of making a POS system cost effective. Until then, they are processing credit cards in a less-than efficient manner and making change mentally or with the help of a calculator.
